The ECYEH Data Entry System is CLOSED. The transition window will open July 10-September 1 so that individuals who continue to experience homelessness as of July 1, 2017 can be updated to the new program year.
If you discover that you did not report someone experiencing homelessness July 1, 2016-June 30, 2017 you will need to get the information to your regional coordinator. They will be compiling any unreported children/youth/students. NO ONE CAN BE ENTERED INTO THE SYSTEM AT THIS TIME.
When the system reopens on July 10, 2017 students who were designated as “currently enrolled in school” as of June 30, 2017 in the Student Status Field will remain in the system. All other students will have been removed.
For students who remain in the system, please update the Student Status Field as “continues to experience homelessness as of July 1, 2017” OR “no longer experiencing homelessness as of July 1, 2017.”
For students continuing to experience homelessness, you will need to update their data entry page to reflect their information as of July 1.
Fields that must be updated include:
- Update Date of identification to July 1, 2017.
- Update nighttime status if changed.
- Update living with parents or legal guardian if changed. (unaccompanied youth)
- Update grade and/or school if applicable.
- Update barriers and service delivery after July 1.
The Transition window will close on September 1, 2017 at 11:59 PM. ALL students that have not been updated to “continues to experience homelessness as of July 1, 2017” will be removed from the system.
PLEASE BE SURE TO EXPORT AND SAVE IN EXCEL SO THAT YOU HAVE A RECORD OF YOUR UPDATES. If you need assistance extracting a report, there are step-by-step instructions under the Help Tab. If you still need assistance please use ecyehsupport@aiu3.net.
The system will reopen for the new 2017-18 year on Monday, September 11th . Students updated to ‘continues to experience homelessness’ as of July 1 with their updated information will remain in the system. You may then go in and update records for any changes that have occurred for existing students and add any newly identified students as of July 1, 2017.
